Room Change Information

Students may request a room change based on preference or due to an interpersonal conflict. For those who seek a room change based on preference, voluntary room change charges may apply. Students seeking a single room based on mental or physical health needs should work with The Office of Student Accessibility on a housing accommodation.
- Late July : Official Fall Assignments are shared via email
- The room change preference waitlist form opens for new students.
- August 28th: Roommate and Apartment Interviews will be available for you and your roommates to fill out. They will be sent out by your RA.
- You will only need to submit 1 Agreement per room/apartment/suite.
- September 14th: The Roommate or Apartment Agreement Form must be completed by first year residents. We encourage returning residents to complete the roommate agreement.
- September 21st: All first year residents must have met with an RA to go over their roommate agreement by this date. Returning residents are highly encouraged to meet with an RA to review their roommate interview. Residents may connect with an RA during Office Hours (7pm-8pm).
- Room Change/Swap Process will be open from September 21st through November 20th. We will not consider room swap requests before or after these dates.
- Room changes and swaps after this period must wait to move in the spring semester. Campus Living will work with students on a plan for moving out of their fall assignments, storing items over the winter break, and moving into a new room in January.
Room Change Types
- Students interested in a room change based on room or building preference (prefers to live in a different complex/area/building/wing) should submit the room preference waitlist form. If you have identified an open room or bedspace you would like to move in to (for example- with your friend), please note this on the form.
- A member of the Campus Living Staff Team will reach out to you via email when a opportunity to move into your preferred space becomes available.
- Campus Living will offer open bed spaces that meet the resident’s roommate profile and gender identity preferences.
- Campus Living will not share the name or contact information of potential roommates until an official reassignment has been made due to FERPA guidelines and respect for student privacy.
- Students who are approved for a room change based on a room or building preference will be charged a $40 room change processing fee.
- Residents will follow the room change steps listed below to complete their room change.
- The resident seeking a room change based on a roommate or community conflict must meet with their Resident Advisor (RA) and or Area Director (AD) to discuss the nature of the concern. We ask this because RAs and ADs have many resources available to students working through conflict.
- Depending on the circumstance, the RA or AD may ask the student interested in pursuing a room change to meet with their roommate(s) and review their Roommate or Apartment Agreement and talk through concerns.
- If the result of conversations with the RA or AD is to move forward with a room change, this information will be communicated to the Campus Living office, who will work on compiling a list of room change options.
- If you have identified an open room or bedspace you would like to move in to, please let your RA/AD know.

Room Change Step by Step
If approved for a room change, the resident will receive an email with room change options and timelines from the living@lclark.edu account.
Once the resident confirms their desired room placement, the central office will work on the official room change placement and alert the student’s AD and RA of the room change.
Residents and the new roommate will receive emails with information about making the transition into this new room space.
You will be asked to do the following:
- You will receive a Room Reassignment notification via email.
Students approved for a room change will be able to collect their new room key from the Odell Annex between 9am and 7pm. If you can’t collect your key during these hours, please send us an email for after hour key collection coordination from our e-locker. - You will have 72 hours to complete your move to new room space. You should already have swipe access to both your new and old building for the duration of your move period.
- All of your belongings should be out of your old space and you did some general cleaning. Once you have completed your move, you will need to do a walkthrough of your old room space by calling the RA On Call (503-768-8999) after 7pm on weekdays and after 12pm on weekends.
- During this walkthrough, the RA will make sure that all of your belongings are out of the space and will record the condition of the room. You are responsible for any damages found in the room space.
- After your inspection, return your old room key to the Odell Annex. Failure to return your key can result in a rekey charge. Your ID card has 24/7 tap access into the Odell Annex. The key drop box can be found to the right of the door or to the left of the welcome desk.
- Once we receive your key back, we will email you to confirm. You will be asked to fill out a room verification on the housing portal for your new room to report any damages or issues you may find in your room. Failure to do so will hold you responsible for any damages found in the room by the time you move out.

Please remember that all empty spaces in rooms must be kept clean and prepared for a new roommate at any time.
When OSA shares new accommodations with Campus Living, your name is added to our OSA waitlist. If a room space that meets your accommodation is or becomes available we will reach out to you about making the move into this new space. Voluntary room change charges do not apply to students who are moving to meet an accommodation need.
